Free freelance invoice generator
A freelance invoice is the document you send a client to request payment for finished work: who you are, who owes you, what you did, how much, and when it’s due. Build one below, download a clean PDF, and when the client pays, switch the status to “Paid” to turn the same document into a receipt.
Add your details and the client’s, list the work as line items (hours × rate or a flat fee), set a due date and payment details, then download. Switch the status to “Paid” once the money arrives.
How to make a freelance invoice

A freelance invoice is a payment request a freelancer sends to a client after (or during) a project. It includes the freelancer’s name and contact details, the client’s name, a unique invoice number, the issue date and due date, an itemized description of the work, the amount owed with any tax shown separately, and how to pay. Once paid, the matching receipt confirms the money was received.
- Invoice first, receipt afterThe invoice asks for payment; the receipt (or a “Paid” invoice) proves it happened.
- Always set a due dateOpen-ended terms are one of the most common reasons freelancers get paid late.
- Number invoices in sequenceIt makes matching invoices to payments, and tax time, far easier.
- Keep income records 3+ yearsThe IRS Self-Employed Individuals Tax Center is a good starting point if you’re new to it.
Why a proper invoice matters
A clear invoice is the difference between getting paid on time and chasing a client for weeks. Later, it’s the paper trail that turns “I did the work” into something you can show an accountant or a tax authority. Freelance income usually isn’t taxed automatically the way a paycheck is, so your own invoices and payment records are the backbone of your tax return.
- Clean bookkeeping. A dated, numbered invoice for every job makes quarterly estimates and year-end filing far less painful, especially once you’re juggling several clients.
- Client trust. An itemized, professional invoice signals that you run your work like a business, which matters for repeat clients and referrals.
- Dispute protection. If a payment is ever questioned or charged back, an invoice showing what was delivered and when is your first line of defense.
- Faster payment. Many clients can only pay once a correctly formatted invoice is in their accounts system. Sending a clean PDF straight away keeps you out of the queue.
What every freelance invoice should include
- Your name or business name and contact details, so the client and your records know who issued it.
- The client’s name (and company, if different) and billing address.
- A unique invoice number, ideally sequential, so it can be referenced and matched to a payment.
- The issue date and a due date, which anchor the invoice in time and set a clear deadline.
- A description of the work: hours, project name or milestone, specific enough to verify later.
- The amount owed, with tax shown separately, since a combined figure is harder to check or claim.
- How to pay: bank details, PayPal or whichever method you accept.
Freelance invoice vs. freelance receipt
| Invoice | Receipt | |
|---|---|---|
| When it’s sent | Before payment, as a request | After payment, as confirmation |
| Purpose | Asks the client to pay | Proves the client has paid |
| Key details | Due date, payment terms, itemized work | Payment date, method and reference |
| Used for | Getting paid | Tax records, expense claims, disputes |
With this generator you can do both: send the invoice, then change the status to Paid and download it again as proof of payment. If you’d rather send a separate document, the payment receipt generator creates one with the amount written out in words. For a deeper look, read receipt vs invoice: what’s the difference?
Three common ways to bill
Hourly work
Typical for design, development and writing. Use one line per task or week, with hours as the quantity and your hourly rate as the price: for example 20 hours × $75 = $1,500. Keep your time log in case the client asks for detail.
Fixed project fee
Best for clearly scoped work. Many freelancers split it into a deposit and a final payment: invoice $800 up front for a $2,400 website, then invoice the remaining $1,600 on delivery, referencing the first invoice number.
Monthly retainer
For ongoing relationships billed at a flat monthly rate. Add a second line for extra hours beyond the retainer (for example, June retainer $1,200 plus 3 extra hours × $75), so the client sees exactly why the total changed.
Common invoicing mistakes
- Not sending one at all. A text thread or verbal agreement makes payment much harder to enforce or match to a project later.
- Vague descriptions. “Consulting” tells your accountant nothing. Name the deliverable or milestone.
- No numbering. Without sequential numbers, matching invoices to payments becomes guesswork.
- No due date. “Payment due within 14 days” or a specific date gets you paid faster than open terms.
- Mixing personal and business payments. Keep a separate invoice series for freelance income.
Tax and record-keeping basics
Keep copies of every invoice and the payment that settled it. The IRS generally recommends keeping income records for at least three years, sometimes longer, and in many countries freelancers pay estimated tax quarterly, which is far easier when your invoices can be totalled by date. The IRS Self-Employed Individuals Tax Center is a good place to start if you’re in the US; elsewhere, check your national tax authority’s guidance for the self-employed.
Freelance invoice: questions & answers
Is this freelance invoice generator free?
Yes. It’s free with no account, no watermark and no limit. Everything is created in your browser and nothing you type is uploaded.
How do I turn an invoice into a receipt?
When the client pays, change the status from “Payment due” to “Paid” and download the invoice again. It then shows “Paid” and works as proof of payment. You can also create a separate payment receipt.
What payment terms should I use?
Net 14 or Net 30 (payment due 14 or 30 days after the invoice date) are common for freelancers. For new clients or large projects, many ask for a deposit up front.
Should I charge tax on my invoice?
It depends on where you and your client are and whether you’re registered for sales tax, VAT or GST. If you charge it, show it as a separate line with the rate. When in doubt, ask an accountant.
Can I invoice in another currency?
Yes. Choose from 20 currencies in the invoice details. The totals are formatted in that currency on the PDF.
What’s the difference between an invoice and a receipt?
An invoice requests payment before it’s made; a receipt confirms payment after it’s received. See our full guide to receipts vs invoices for examples.
