How to make a receipt online

Most people finish their first receipt in under a minute.

  1. Add your business details

Business name, address, phone and email, plus a tax or VAT number if you have one. Upload a logo if you’d like it on the receipt.

  2. List what was sold

Add each product or service on its own line with a quantity and price. Set the tax rate, any discount and the payment method; the totals update as you type.

  3. Pick a style and download

Choose Thermal, Modern or Minimal, pick a color, then download a PDF or PNG, print it, or save a Word or spreadsheet copy.

What is a receipt generator?

A receipt generator is an online tool that turns the details of a sale (who sold it, what was bought, the price, tax and payment method) into a formatted, numbered receipt you can download or print. It replaces handwritten receipt books and Word templates: you fill in a form, the tool calculates the totals and lays everything out, and you get a document that’s ready to send to a customer or keep for your records.

  • A receipt proves paymentAn invoice asks for money; a receipt confirms you were paid. Issue the receipt after the money arrives.
  • Digital receipts countThe IRS has accepted electronically created and stored records since Revenue Procedure 97-22, as long as they’re complete and accurate.
  • Keep them 3+ yearsThe IRS generally expects you to keep records that support your tax return for at least three years after you file.
  • Number every receiptA unique, sequential receipt number is what lets you trace a sale later and prove nothing was skipped or duplicated.

Why people choose ReceiptForge

Free tools usually come with a catch. This one doesn’t.

Private by design

The receipt is built in your browser. We never see, upload or store the names, amounts or customer details you type.

No watermark, ever

Every download is clean and ready to send. There’s no paid tier hiding the good version.

Your brand on every receipt

Add your logo, choose an accent color and switch between three looks: thermal till roll, modern or minimal.

The math is done for you

Subtotals, tax, discounts, tips, shipping, change due, and even the amount in words on rent and payment receipts.

Automatic receipt numbers

Each receipt gets a unique number and date stamp, so your records stay in order without a spreadsheet.

Works on any device

Make a receipt on your phone at a market stall or on your laptop at the office. Your draft is saved on your device.

What should a receipt include?

A receipt that holds up for taxes, refunds or a dispute always has these six things. Every ReceiptForge template includes them by default.

Make one now
  1. Your business name and contact details: so the customer (or an auditor) knows who issued it
  2. A unique receipt number: so the sale can be found, referenced and never duplicated
  3. The date of payment: the day the money arrived, not the day you sent an invoice
  4. An itemized list: each product or service on its own line, with quantity and price
  5. Tax shown separately: with the rate, so it can be claimed or checked later
  6. The total and payment method: cash, card, transfer or app, plus a reference number for electronic payments

Receipt or invoice?

They look similar but do opposite jobs. An invoice asks to be paid; a receipt proves you were.

Why I built ReceiptForge

I’m Jahangir Badar. After years of freelancing and running small online projects, I got tired of receipt makers that hid the download behind a sign-up, stamped a watermark on the result, or asked for a subscription to remove it. So I built the one I wanted to use myself.

ReceiptForge is deliberately simple: fill in the form, check the preview, download. It runs entirely in your browser, so the details of your customers and your sales stay with you. I keep improving it based on what people tell me through the contact page, so if something is missing for your kind of business, let me know.

Receipt generator FAQ

Is ReceiptForge really free?

Yes. Every generator, style and download format is free, with no sign-up, no watermark and no limit on how many receipts you make. There’s no paid version with extra features hidden behind it.

Do you store the receipts I create?

No. The receipt is created in your browser and nothing you type is sent to our servers. Your draft is saved only on your own device (in your browser’s storage) so it’s still there if you refresh. Use “Start over” to clear it.

Can I add my own logo and colors?

Yes. Upload a PNG, JPG or SVG logo in the Business section, then pick one of the accent colors or any custom color. The logo and color carry through to the PDF, PNG and printed copy.

Are receipts made with an online generator legally valid?

A receipt is valid when it accurately records a real transaction and includes the key details: who was paid, by whom, how much, when, how, and for what. How it was made doesn’t change that. Tax authorities such as the IRS accept electronically created records. Requirements differ between countries, so check local rules for anything official.

What’s the difference between a receipt and an invoice?

An invoice is a request for payment sent before the customer pays. A receipt is proof that payment has already been made. If you bill first, use the freelance invoice generator, then mark it as paid or issue a payment receipt once the money arrives. We explain it in detail in our guide to receipts vs invoices.

Which format should I download: PDF, PNG, Word or CSV?

PDF is best for sending to a customer or keeping for tax records, since it looks the same everywhere. PNG is handy for sharing in a chat app. Word lets you edit the text afterwards, and the CSV file opens in Excel or Google Sheets if you keep a running ledger.

Can I use it on my phone?

Yes. On a phone the editor and the preview sit on two tabs: fill in the form under “Edit”, check it under “Preview”, then download or share.

Can I make a receipt for a store I didn’t buy from?

No. ReceiptForge is for receipts you issue for your own sales and services. It doesn’t recreate receipts from other companies, and creating a receipt for a purchase that didn’t happen can be fraud. If you need a copy of a store receipt, ask the store or check your order history with them.
